If you’re an Apex Care Professional extending your program in the U.S., the topic of visa renewal can feel a bit overwhelming. But don’t worry! We got you. 

It’s actually really simple. 

Do you need to apply for a new J-1 visa?

Is it necessary even if your program is extended? The good news is: in many cases, the answer is no. But if international travel is part of your plan during your extension year, there are important steps you’ll need to take.

This guide breaks down exactly when you do – and don’t – need to renew your visa, and walks you through how to complete the process smoothly if you decide to move forward with it. From filling out the DS-160 to booking your visa interview and avoiding common mistakes, we’ve got you covered.

When do you actually need to renew your visa?

Simple answer: Only if you are planning to travel outside the U.S., Mexico, Canada, or nearby “adjacent islands” during your extension.
If you are sticking around the U.S. or just popping over to Canada or Mexico, no visa renewal needed – even if your visa has expired! Why? Because with your valid DS-2019 signed for travel and your Apex program still active, you get to use “automatic visa revalidation.”
What are these “adjacent islands” anyway?
The term „adjacent islands“ in this context refers to a specific list of islands and territories bordering the Caribbean Sea, including those belonging to the United Kingdom, France, and the Netherlands. Specifically, it encompasses Anguilla, Antigua, Aruba, Bahamas, Barbados, Barbuda, Bermuda, Bonaire, British Virgin Islands, Cayman Islands, Cuba, Curacao, Dominica, Dominican Republic, Grenada, Guadeloupe, Haiti, Jamaica, Marie-Galante, Martinique, Miquelon, Montserrat, Saba, Saint Barthélemy, Saint Christopher, Saint Eustatius, Saint Kitts-Nevis, Saint Lucia, Saint Maarten, Saint Martin, Saint Pierre, Saint Vincent and Grenadines, Trinidad and Tobago, Turks and Caicos Islands, and other British, French, and Netherlands territories or possessions bordering the Caribbean Sea.

I am 27 (or turning 27). Can I still extend my program and renew my visa?

Yes! Absolutely – you can extend your program and renew your J-1 visa even if you are 27 or turning 27.

If you already on an existing J1 visa with Apex, turning 27 doesn’t close the door on your experience in the U.S. The J-1 program extension rules allow you to continue as long as you meet the standard program requirements, complete your educational credits, and Apex and the US Department of State approve your extension. Your age doesn’t prevent you from renewing your visa for your extension year, traveling internationally, or continuing your work as an Apex Care Professional.

So whether you’re celebrating your birthday soon or already blew out your 27 candles – don’t worry. Your adventure doesn’t have to end! 🎉

As long as your extension is approved and you follow the renewal steps outlined below, you’re good to go.

Renewing Your J-1 Visa - Here’s What’s Coming Your Way:

1. Sign your Extension Agreement.
2. Complete Your Educational Requirements

To extend your program, you’ll need to submit proof of your completed educational credits — 6 credits are needed to be able to extend your program. Email your proof to customercare@apex-social.com at least 60 days before your current program ends.

📝 Apex can only submit your extension request to the U.S. Department of State after receiving your credits. Once approved, you’ll receive a new DS-2019 form with updated program dates—this form is required for your visa renewal.

3. Complete your Visa Application 

This includes filling out the DS-160 form, paying the visa fee, and booking your in-person visa interview. Step-by-step instructions will be emailed to you, and our Customer Care Team is here to support you along the way.

📝 Tip: The ideal time to travel back to Germany for your visa renewal is usually 1–2 months before or after your current visa expires.

4. Book your flight – but only after your visa appointment is confirmed

Wait until your visa interview is officially scheduled before booking your flight. Keep in mind: Flights from the U.S. to Europe are typically overnight, so you’ll need to arrive at least one day before your appointment to be on time and well-rested.

5. Keep your ACD in the loop
Once your appointment and travel plans are set, share them with your ACD for coordination and support.

Troubleshooting tips for the DS-160 Application and US Travel Docs platform

DS-160 Visa Application

This is the same form you completed before starting your Apex Social program – but now it’s time to fill out a new one. For your visa renewal, you must submit a fresh DS-160. The information in your previous application – like your travel history, current job, or program dates – has likely changed and can’t be reused.

Once you start the DS-160, you’ll have 30 days to complete and submit it. After submission, the confirmation page is typically valid for about one year for scheduling your visa interview.

A few tips as you fill out the form:

  • Avoid special characters like ä, ö, ü, or ß. Instead, use ae, oe, ue, and ss.
  • Don’t rely on autofill or copy/paste – manually typing reduces the chance of errors.

If the site logs you out with a “Session Timed Out” message, don’t panic – it’s very common. This usually happens during busy hours. Just log back in and keep going.

If you get kicked out before saving anything, clear your browser data and start fresh – Google Chrome works best.

US Travel Docs Platform

To book your visa interview, you’ll first need to pay the $185 visa application fee. This fee – known as the MRV fee – can be paid via:

  • Credit or debit card (EU or US Visa/MasterCard)
  • Wire transfer (“Überweisung”)

Paying with an EU Visa credit card is usually the fastest and most reliable option. It gives you instant access to the visa appointment calendar. A wire transfer, on the other hand, can take 1–3 business days to process, so you’ll have to wait before booking your appointment.

Important Info About the Visa Fee:

  • The Visa Fee is valid for 365 days from the date of payment. You must schedule your interview within that year – even if the interview itself happens later.
  • You can reschedule or cancel your appointment twice. If you try to make a third change, you’ll need to pay the fee again.
  • The fee is non-refundable. If you don’t find a suitable appointment, change your mind about renewing your visa, or make a payment error (like forgetting to include your personalized “Purpose of Transfer” in a wire transfer), the money won’t be returned – and you’ll have to start over.

Troubleshooting & Support:

  • If you run into technical issues with the US Travel Docs site, the best way to get help is by calling their support hotline: US Travel Docs Contact page.
  • For specific questions about your case or to request an emergency appointment, use the “Feedback/Requests” function in your account.
  • Use Google Chrome for the smoothest experience – this is the browser recommended by US Travel Docs support.
  • Skip the “Interview Waiver” Option!
    If you get a message saying you qualify for an Interview Waiver, something went wrong. That path requires you to mail your passport and documents to the U.S. Consulate in your home country – a slow process that can easily lead to delays or complications. In most cases, people are eventually told to schedule an in-person interview anyway. Plus, if you’re currently in the U.S., mailing your passport to Europe is risky. It could get lost, and replacing it would be expensive and time-consuming.

You only need to renew your J-1 visa if you’re traveling internationally beyond Canada, Mexico, or adjacent islands during your extension.
